IntelisTech is the data controller for all personal information collected through our products and website. We are based in Niepolomice, Poland and operate under Polish law and applicable European Union regulations, including the General Data Protection Regulation (GDPR). We are committed to responsible data practices and to protecting the privacy of our users, their organizations, and any individuals whose information is managed through our platforms.

Account & Identity Information

• Full name and email address used to create your account
• Company or organization name
• Profile photo (if uploaded)
• Role and access level within your organization

Billing & Payment Information

• Subscription plan, billing cycle, and payment history
• Payment method details — handled entirely by Stripe; IntelisTech does not store full card numbers

Operational & Business Data

• Data you enter into IntelisTech products (e.g., trip records, client information, driver assignments, scheduling data in ezmedtrip)
• Files, documents, and notes you upload or generate within a product
• Communications data such as phone numbers used for SMS notifications

Technical & Usage Data

• IP address, browser type, and device information
• Pages visited, features used, and actions taken within our products
• Session and authentication tokens
• Error logs and performance data used to maintain service quality

3. How We Use Your Information

We use collected information to:

• Provide, operate, and maintain IntelisTech products and services
• Process and manage your subscription and payments through Stripe
• Deliver transactional communications (email confirmations, SMS notifications) where applicable
• Respond to support requests, inquiries, and reported issues
• Monitor and improve the security, performance, and reliability of our Services
• Develop and improve product features based on usage patterns
• Comply with legal obligations and enforce our Terms of Service

We do not use your data for advertising purposes or sell it to third-party marketers.

4. SMS Communications

Certain IntelisTech products (including ezmedtrip) send transactional SMS messages through Twilio for operational purposes — such as trip confirmations, driver assignment notifications, and scheduling updates. By entering phone numbers into our platforms, you represent that the recipients have consented to receive such messages.

We do not send unsolicited marketing text messages to clients or end users. Standard carrier message and data rates may apply. Recipients may opt out by replying STOP to any SMS message.

5. Sharing of Information

We do not sell, rent, or trade your personal information. We share data only in the following circumstances:

• Stripe — to process subscription payments and manage billing. Stripe's privacy policy governs their handling of payment data.
• Supabase — as the underlying database and authentication infrastructure for our products. Data is stored in Supabase-managed infrastructure.
• Twilio — to deliver SMS notifications where applicable.
• Vercel — for application hosting and content delivery.
• Law enforcement or regulators — when required by applicable law, court order, or to protect the rights and safety of IntelisTech, our users, or the public.

All third-party providers are contractually obligated to process your data only as directed by IntelisTech and in accordance with applicable data protection laws.

6. Data Storage & Security

Your data is stored on secure cloud infrastructure managed by Supabase and hosted on Vercel. We implement industry-standard technical and organizational security measures, including:

• Encryption in transit (TLS/HTTPS) for all data transmitted to and from our Services
• Encryption at rest for database records
• Access controls limiting who within IntelisTech can view production data
• Regular security reviews and dependency updates

While we take security seriously, no system is completely immune to risk. We cannot guarantee absolute security of your data.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide Services. After account cancellation:

• Account and operational data may be retained for up to 90 days before deletion
• Billing records may be retained longer as required by applicable financial regulations
• Anonymized usage data may be retained indefinitely for product improvement purposes

8. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you

We do not currently use third-party advertising cookies or behavioral tracking technologies. If this changes, we will update this policy and notify you appropriately before such changes take effect.

10. Children's Privacy

IntelisTech products are designed for use by businesses and are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If you believe a minor has provided us with personal data, please contact us immediately at basile@intelistech.com.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. Material changes will be communicated via email or an in-app notification.
